    • These calls are best for major updates, questions, concerns, or significant remaining tasks. I can give you vendor recommendations, design ideas, timeline advice, and more. You can also reach me by email with any questions you may have. 

    • Check-in’s are 30 minutes. This time is accounted for in your contract, please refer back to your contract or lead coordinator for more information.

    • They must be via phone or Google Hangout.

    • You can schedule one per month, if needed. You don’t have to schedule any at all if you don’t want to.

    • Check-in’s are not official meetings. We take minimal notes since we know plans are bound to change before your official meeting.

    • When should you schedule your first meeting? We will contact you 2 months before your wedding day to get you scheduled for your first meeting!

    • You can schedule your check-in’s via the client portal. If you have any questions, don’t hesitate to email us!

  • Yes! The Coda’s Crew loves creating wedding magic and making sure your venue is set with all the finishing touches before guests arrive. We’re happy to set up additional decor that you may be supplying, but please keep in mind that if you require floral set-up from our team, there is an additional fee.

  • We love when couples choose an officiant who knows and loves them! More than likely, your friends and family members are not ordained. The steps they’ll need to take are fairly simple (and free!). Once they’re ordained, you can work with them to build a ceremony script that feels genuine to you, your beliefs, and your personalities. If you need a little help, just ask us for our script examples! On the wedding day, your officiant and two witnesses will need to sign your marriage license. We’ll make sure that happens immediately after the ceremony and then we’ll get the license mailed off the next business day!

  • Your Lead Coordinator will be working alongside your vendors to make sure your wedding day goes off without a hitch. The rest of the Coda’s Crew assisting your Lead Coordinator will depend on the size and scope of your wedding.

  • When your Lead Coordinator meets your wedding party and family at your rehearsal, they will distribute a digital Friends + Fam timeline so that your VIPs can have all of the information they may need on the wedding day at their fingertips. Our team will also be there to cue your wedding party down the aisle, offering reminders and tips so everyone sets their best foot forward. Throughout the reception, we’ll give anyone involved in reception traditions a heads-up to be sure they’re prepared and not mid-bite or in the bathroom when their moment in the spotlight arrives.

  • Exactly what your getting ready process will look like will depend on the location and the size of your wedding party. Whether you’re with a small circle of family at a relative’s house or a large wedding party in a hotel suite or Airbnb, we recommend making sure there is enough food and water for everyone in the wedding party. There will be downtime as other people receive hair and makeup services or get dressed; it’s best to have a spread set out early on so you and your wedding party can help yourselves throughout the morning. This is a great task to hand off to a friend or family member who wants to help! Let us know if you need recommendations!

  • Whether or not you do a first look is completely up to you! For some couples, it helps calm the nerves, while others want to save that big reveal for walking down the aisle. Whatever you decide, we will make it work within your timeline. Our perspective? There are many benefits to having a first look earlier in the day! You and your partner get to spend more of the day together and are there to reassure each other when emotions may run high. Your photo and video teams have the opportunity to control the setting in order to create a magical moment and beautiful photos. There is plenty of time to capture newlywed, wedding party, and even family photos before the ceremony, leaving you free to enjoy your cocktail hour or the beginning of your reception.

  • Choosing to tip your vendors is up to your discretion. As a general practice, industry experts recommend tipping vendors who will be there for the full duration of your wedding day. Some vendors, such as make-up artists or caterers, may have gratuity built into their contracts. Others, like bartenders and bus drivers, fall under more customary tipping practices. We know it can be complicated, so we’ve built a Vendor Tipping Guide to help you. Once you’ve decided who you would like to tip, you can prepare them in advance in separate, labeled envelopes and give them to us at your rehearsal or on the morning of your wedding. From there, we’ll distribute the tips to the corresponding vendors upon completion of their services.

  • Venue coordinators or event leads are just that – experts at events at their venue. They can provide valuable insight during the planning process about what works best with the layout and limitations of their space. Our team collaborates with them during the planning stages to ensure the timeline will run smoothly at your chosen venue. On the day of your event, the venue coordinator will be responsible for any venue staff (for example, if your venue provides its own bar and bartenders) and can answer logistical questions for vendors like bands and photographers. Our team will be communicating with you and your wedding party about things like ceremony processionals and reception speeches, setting up and tearing down additional decor you may have selected, and directing all vendors involved to ensure each one is prepared to execute your vision for each part of your day.
